File follow-up & CRM

Every file up to date, every client followed up, every next step scheduled. I structure and maintain your files and your CRM so that nothing slips through the net.

A poorly followed file always costs more

Whether it’s a patient file, a client file or a project, follow-up relies on a series of small actions: completing a piece of information, chasing a missing document, scheduling the next step, archiving what is finished. When they aren’t done, files stall and clients notice.

I take care of this follow-up day to day, in your tools: business software, shared folders or CRM. Every file has a clear status, every action has a deadline, and you have a reliable overview of your activity.

Symptoms of poor follow-up

Missing documents

A file blocked for weeks because of a document nobody chased.

Forgotten prospects

A quote request left unanswered for lack of a follow-up.

A neglected CRM

Incomplete records, duplicates and out-of-date information.

No overview

No quick way of knowing where each file stands.

What I take care of

  • Opening, updating and closing files
  • Collecting and chasing missing documents
  • Scheduling next steps and reminders
  • Keeping your CRM up to date: records, history, statuses
  • Following up prospects and quote requests
  • Data clean-up: duplicates, out-of-date information
  • Simple activity dashboards
  • Structured archiving of closed files

CRM & client follow-up

A CRM is only useful if it is kept up to date. I enter new contacts, complete the history of exchanges, update statuses and schedule follow-ups. You finally have a reliable tool to track your prospects, build client loyalty and prepare your sales meetings.

I work with the CRMs on the market as well as with simple shared spreadsheets if you are just starting out — what matters is regular follow-up, not the complexity of the tool.

How it works

  1. Assessment

Where your files are, which tools you use, what information is missing.

  2. Structure

Naming conventions, statuses, required fields: a simple, lasting framework.

  3. Ongoing follow-up

Updates, reminders and scheduling as things happen.

  4. Overview

A regular review of files in progress, blocked or ready to close.

The benefits for you

Files that move forward

Reminders are sent on time and blockages cleared faster.

Better client follow-up

Every contact is called back at the right time; nothing is forgotten.

A clean CRM you can really rely on.

Frequently asked questions

Which CRMs do you know?

I adapt to the main CRMs on the market as well as to industry-specific software. If you don’t have a tool yet, a well-structured shared spreadsheet is often an excellent starting point.

Can you take over a poorly maintained CRM?

Yes. An initial clean-up assignment (duplicates, incomplete records, statuses) gives you a sound basis before regular follow-up begins.

Do you access my patients’ medical records?

Only within the limits you define and as far as the assignment requires, with named access and in strict compliance with professional confidentiality and the GDPR.

How much time per week should I allow?

For most self-employed professionals, two to four hours a week is enough to keep files and a CRM fully up to date.
